Lists, filters and search

Filter, sort and search the same way in every list in the suite, and share the result as a link.

Learn one list and you know them all. Contacts, conversations, tasks, projects, files and members share one toolbar.

The toolbar

Filter, sort and search from a single row, always in the same order:

  • Open Filters, on the left, to narrow the list. Above two facets one button groups them and keeps the count of the active ones. At one or two, each filter fits inline and visible.
  • Change the sort on the button beside it, which carries the chosen option written on it.
  • Narrow by text in Search, at the other end of the row.

The filter and sort controls of a list, in Swarm's My work.

Create from the page header: the create button, "New project" say, is never in this row.

Search does not fire as you type

Press Enter or leave the field to fire the search: the result stays still while you read it.

If the record carries a visible number, type the number and you find it too.

Filters live in the URL

Copy the page address and you take what you are looking at with you: every filter, the sort and the search are written into it. Three practical consequences:

  • Send the link to someone and it opens the list with the same filters.
  • The browser's back button undoes a filter rather than leaving the page.
  • Reloading keeps what you were looking at.

A freshly opened list has a clean address: default values do not travel in the URL.

The /w/<workspace>/ segment the address opens with names the workspace, so the link carries the workspace you copied it in and opens that same workspace for whoever receives it. See Workspaces.

Clearing

Remove every filter at once with Clear filters, the last item in the filter menu. With none set it stays there, greyed out.

An empty list tells you which of two things happened: no records exist at all, or none match the filters. In the second case, clear the filters from the toolbar, which stays on screen so you can undo without leaving.
